What We Offer
The Office of Communications and Marketing supports the web presence of the College of Arts and Sciences — including college administration, departments, schools, centers, and institutes. We serve as a bridge to USF Information Technology and University Communications and Marketing (UCM), maintaining the standards, training, and content practices that keep CAS websites accurate, accessible, and on brand.
You are welcome to request a service at any time. When you submit a request, please include the URL of any page involved and your deadline.
Content Updates and Reviews
- Reviewing and refreshing your website content each semester
- Updating faculty profiles, titles, and contact information
- Flagging outdated program details, expired deadlines, and past events
- Identifying broken links and pages that no longer have an owner
Omni CMS Training and Support
- Training users in Omni CMS, including access and permission setup
- Monthly workshops for CMS users

- Troubleshooting when a page will not publish or renders incorrectly
Web Standards and Best Practices
- Accessibility, including heading structure, alternative text, color contrast, and descriptive links
- Search engine optimization, including page titles, meta descriptions, and clean URLs
- Mobile responsive design that works on phones and tablets, not only on a desktop monitor
- Accessibility and Lighthouse testing reports, with findings prioritized by severity
Site Structure, Files, and Migration
- Planning a logical directory structure and naming conventions for your site
- Managing PDF and image files so they are easy to find and reuse
- Sizing and optimizing images to meet CMS standards for resolution and file size
- Migrating your web content from legacy platforms into Omni CMS
Inventorying an existing site before a migration to determine what carries over, what is rewritten, and what is retired - Rebuilding pages in current Omni CMS templates
- Preparing and submitting CMS
- Support requests for file and folder moves, renames, redirects, and site reorganization, so existing links and search results survive
URLs, Analytics, and Reporting
- Creating vanity URLs (usf.edu/x) and shortened URLs (usf.to/x)
- Click metrics for shortened links, including volume over time and referral source
- Google Analytics reports for your pages or section
- Before-and-after reporting around a campaign, launch, or migration
Please keep in mind that the success of a given project depends on the partnership between our office and the individual requesting service. Departments own the accuracy of their content; we provide the standards, training, testing, and hands-on help to keep it current, and we handle coordination with UCM so you do not have to.

Q. How do I request help with my website?
A. Submit a noting which pages or directory you need. As the college's Content Manager, our office approves access and submits the request to UCM, who provisions it. Access is granted at the directory level. New Content Contributors complete an orientation before receiving publishing rights.

Q. Do accessibility standards apply to PDFs we post?
A. Yes. A PDF posted on a USF page carries the same accessibility obligations as the page itself. This is one reason we often recommend putting content directly on a web page rather than inside a PDF.
Q. We want to embed a third-party tool, widget, or form on our page. Is that allowed?
A. Submit a web request before embedding anything. Third-party embeds frequently introduce accessibility failures and performance problems that the hosting page becomes responsible for. CMS exceptions and branding templates for third-party vendors are reviewed by UCM and IT Web Services, and form, survey, and application assistance goes through UCM's CMS Support intake. We will route your request and tell you what is possible.
